    Talent & Administrative Specialist

    We are seeking a highly organized and proactive Talent & Administrative Specialist to join our team in a hybrid role spanning HR administration, office management, and recruitment. This position plays a critical role in supporting our people, maintaining smooth day-to-day operations, and ensuring a positive employee and candidate experience.

    This role is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes ownership of both operational and people-focused responsibilities.

    Key Responsibilities

    HR Administration

    • Maintain accurate employee records, HR documentation, and internal trackers.

    • Support onboarding and offboarding processes to ensure seamless employee transitions.

    • Assist with payroll preparation, including attendance tracking, leave records, and employee data updates.

    • Act as a primary point of contact for employee HR inquiries and internal communications.

    • Coordinate training sessions, performance review cycles, and employee engagement initiatives.

    Office Management

    • Oversee day-to-day operations of the Warsaw office, including supplies, vendors, and facilities.

    • Serve as the main point of contact for building management and external service providers.

    • Coordinate team events, in-office activities, meetings, and executive calendars or travel when needed.

    • Manage office budgets, expenses, and invoices, handling confidential information with discretion.

    Recruitment

    • Support the full recruitment lifecycle, from job postings through hiring and onboarding.

    • Partner with hiring managers to define role requirements and assist with candidate sourcing and resume screening.

    • Conduct initial HR interviews and coordinate interview stages, feedback, and scheduling.

    • Maintain recruitment tools and systems (LinkedIn, Indeed, Monday.com) and manage relationships with external agencies.

    Requirements

    • Experience: 2–4 years of combined experience in HR administration and office management.

    • Recruitment: Minimum 1 year of hands-on recruitment experience (additional experience is a strong advantage).

    • Technical Skills: Proficiency with Google Workspace, Slack, Zoom, Monday.com, and LinkedIn.

    • Communication: Strong interpersonal and communication skills, with the ability to work effectively across global teams.

    • Soft Skills: High level of discretion, excellent organizational skills, and strong attention to detail.

    • Environment Fit: Prior experience in a startup or fast-paced environment is highly preferred.
